Full Privacy Policy
1. Who we are
This Privacy Policy explains how SoulBiz™ ("we", "us", "our") collects, uses, shares and protects your personal information when you visit www.soulbiz.com, sign up for a free resource, buy a product or program, use one of our web apps, join a call or community, or contact us. It applies to every page, checkout, app and email we operate (together, the "Site").
We are based in British Columbia, Canada, and we handle personal information in line with Canadian privacy law, including British Columbia's Personal Information Protection Act and the federal Personal Information Protection and Electronic Documents Act (PIPEDA), where they apply. By using the Site, you agree to this Privacy Policy and to our Terms & Conditions at www.soulbiz.com/terms-conditions.
2. What we collect
Information you give us
✦ Your name and email address when you sign up for a free resource, take our quiz, or buy something.
✦ Your quiz answers and any form responses, such as your business stage or goals.
✦ Your billing name, billing address and country when you buy. Your card or PayPal details go straight to our payment processors (section 5).
✦ Anything you share with us in emails, messages, applications, coaching sessions, calls or communities.
✦ Testimonials or feedback you choose to send us.
Information collected automatically
✦ Basic technical information, such as your IP address, browser type, device type and the pages you visit, collected by our website and email platform.
✦ Email activity, such as whether you opened an email or clicked a link, so we know our emails are reaching you.
✦ Cookies and similar technologies, explained in section 7.
Information we do not collect
We do not knowingly collect sensitive information such as health records, government ID numbers or full payment card numbers. Please do not send us this kind of information.
3. How we use your information
We use your information to:
✦ deliver the free resources, products, programs, apps and sessions you sign up for or buy;
✦ process payments, send receipts and manage payment plans;
✦ send you the emails you signed up for, including helpful content and offers we think you will find useful;
✦ recommend the right next step for you, for example based on your quiz results;
✦ answer your questions and provide support;
✦ run, secure and improve the Site and our offers;
✦ protect our business, including preventing fraud and responding to chargebacks and payment disputes; and
✦ meet our legal, tax and accounting obligations.
We only use your information for these purposes, or for another purpose we tell you about and, where required, ask your consent for.
4. Email marketing and your choices
When you sign up for a free resource, take our quiz or buy something, you agree to receive emails from us about it and about our other offers. Every marketing email includes an unsubscribe link, and you can unsubscribe at any time. We will still send you essential emails about purchases you have made, such as receipts and access details.
5. Who we share your information with
We never sell, rent or trade your personal information. We share it only with trusted service providers who help us run the business, and only as needed for them to do that work:
✦ Systeme.io, which hosts our website, checkout pages, email lists and automations;
✦ Stripe and PayPal, which process payments securely under their own privacy policies;
✦ Zoom or similar tools, for live calls and sessions;
✦ email, file storage, scheduling and other everyday business software; and
✦ our accountant, lawyer or other professional advisors, when needed.
We may also share information if the law requires it, to protect our rights or the safety of others, to respond to a chargeback or payment dispute, or as part of a sale or transfer of the business.
6. Where your information is stored
Some of our service providers store and process information on servers outside Canada, including in the United States and the European Union. When your information is held in another country, it is subject to that country's laws and may be accessed by its courts, law enforcement and government authorities. By using the Site, you consent to this transfer.
7. Cookies and tracking
Our website and checkout use cookies and similar technologies to keep pages working, remember your progress in a form or checkout, keep payments secure, and understand how the Site is used. You can block or delete cookies in your browser settings, but some parts of the Site may not work properly without them.
From time to time we may use advertising or analytics tools, such as the Meta Pixel or Google Analytics, to measure our marketing and show our ads to people who may be interested. These tools collect information under their own privacy policies. You can control ad personalization in your Meta and Google account settings.
8. Our web apps
Our web apps, such as the SoulBiz™ Planner, the Cycle Sync Planner and the Visibility Studio, save what you type in your own browser on your own device. We do not see or store that content on our servers.
If you choose to back up your work, for example with Save my Studio, we email you a private link that holds a copy of your saved work, so you can open it on another device. That email passes through our email platform. Please keep that link private, because anyone who has it can open your saved work.
9. Calls, coaching and communities
Group calls and some sessions may be recorded and shared with the members of that program. What you share in coaching or group spaces is kept confidential by us, and members agree to keep each other's information confidential as set out in our Terms & Conditions. We do not share what you tell us in coaching with anyone else unless you give us permission or the law requires it.
10. How long we keep your information
We keep your information only as long as we need it for the purposes above, including to provide your purchases, support you, keep proper business and tax records, and handle disputes. When we no longer need it, we delete it or make it anonymous.
11. How we protect your information
We use reputable, secure service providers and take reasonable steps to protect your information from loss, misuse and unauthorized access. No website, email or online service is ever 100% secure, so we cannot guarantee absolute security.
12. Your rights
You can ask to:
✦ see the personal information we hold about you;
✦ correct information that is wrong or out of date;
✦ withdraw your consent to marketing emails at any time; and
✦ have your information deleted, unless we need to keep it for legal, tax or dispute reasons.
Depending on where you live, including some US states, you may have additional privacy rights, and we will honour them as the law requires. To make a request, email steph@soulbiz.com. We may need to confirm your identity first, and we will reply within the time the law requires.
13. Children
The Site and our offers are for adults. We do not knowingly collect information from anyone under 18. If you believe a minor has given us their information, contact us and we will delete it.
14. Third party links
The Site may link to other websites, apps and platforms, including social media. We are not responsible for their content or privacy practices, so please read their policies.
15. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be on this page, with the date it was last updated.
